    Class 2 Word

    We hope to go over the following:

    1. How to get to my web site to download a file.
    2. How to manage several applications open at the same time (Word and IE).
    3. Copying and pasting
    4. Paragraph formatting (indenting, justification, line spacing, character spacing)
    5. Toolbars (there are many but 2 are most important and should always be turned on: Standard and Formatting.
    6. The 4 different Views of your document
      • Normal
      • Web
      • Print
      • Outline
    7. Page Setup options, including fixing a student’s file that wouldn’t print correctly. How to make changes permanent.
    8. Auto Correct and it’s options, including Auto Text

    Class 1-and-a-half Word

    It’s good to have a class when nothing goes wrong. Things we hope to cover include:

      1. Different versions of Word – same functions but perhaps a different presentation
      2. Changing shape of the cursor tells you what you can do at that specific moment. Very helpful when selcting something to edit.
      3. Toolbars – Standard and Formatting are the 2 most frequently used. These should be the ones you have activated. How do you activate (or turn on/off a toolbar?).
      4. Show/Hide button
      5. Formatting

      • Paragraph – indenting, first line special
      • Font – small caps

      6. Selecting is important. You must be able to select the text in order to change it in some way. This could be to change the font or the size or the color or the alignment.

      • Dragging the mouse to select
      • Using the left margin single-double-triple click to select
        1. Single click selects an entire line from left margin to right
        2. Double click selects an entire paragraph
        3. Triple click selects the entire document
      • Double-click within a word to select the entire word

      7. Formatting using paragraph alignment is better than using tabs to adjust something. This is the preferred way. It can only help you or someone else who is going to make a change in the future in your document.
      8. Copying and pasting was used to bring text from the word_class_exercises.doc to a new document in Word.
      9. Different views of your document and what each one is best used for:

      • Normal
      • Web layout – use when making web pages in Word
      • Print layout
      • Outline – use when you are making an outline

    Some of the possible things we will cover include:

      1. How to go to a web site in Internet Explorer (IE) when you know the web address.

      • Don’t use the “search” dialog box from any web page. This won’t get you there directly.
      • Rather use the Address line in the IE toolbar in which to enter the web address and then press the Enter key.
      • Or use the shortcut key combination from IE, CTRL-O to open a dialog box in which to enter the web address you want to go to. CTRL-O is short for “opening a web site”.

      2. We learned how to navigate my web site and blog.
      3. How to download a file by clicking on a link.

      • You are prompted to either open or save the file.
      • If you Open it, then it will be opened in Internet Explorer (IE), not Word as we found out.
      • So, you should Save it. Saving it then requires you to find a place using Windows Explorer. I recommend saving it in the My Documents folder.
      • Then once it is Saved, you are prompted to Open the file (and use it) or not. Clicking on Open then starts Word with this document.

      4. How do you start Microsoft Word? When there is no icon?
      5. How do you start Internet Explorer (or Firefox) browser?
      6. How do you keep both of these applications open at the same time?
      7. Selecting text in several ways in order to cut or copy or paste.
      8. How do you copy and paste?
      9. What are tool bars?
      10. What is the Clipboard Manager?
      11. Navigating a document in Word.
      12. Formatting using the Format-Paragraph menu path. Gives you a lot of control in doing a bunch of things (indenting, line spacing, alignment).
      13. Be careful when closing a window by using the X in the upper right-hand corner of the application window. We wanted to have both the IE and Word open at the same time.
      14. Minimize, maximize, and close Window options.
      15. Where do you save files you are working on. How to manage this.

    Selecting discontinuous text in MS Word

    I had mentioned that you could select multiple words in different paragraphs by using the Ctrl key while selecting the word with the mouse. This apparently does not work in the 2000 version and earlier.

    This can only be done in versions 2002 and later, including XP.

    You double-click with the mouse on a word to select it. Then you go to another paragraph and hold the Ctrl key down while double-clicking on another word to select.
